You have Content Planning Studio. This page takes you from the download to a working app, a connected AI and your first backup, one step at a time. It covers what is in the download, how to open the app on Windows, how to log in, and how to choose where your AI comes from.

Choose where your AI comes from

The planning chats, the Generate panels and the carousel text all use AI. You decide where that AI comes from, and you can change your mind later.

Tip

If you already have a Claude plan, start with Claude Desktop. Everything the app's chats can do, Claude does from a chat window on the plan you already pay for.

Good to know

Two small tools (draft from a template, and distil my voice) use the key in AI Settings even when you work through Claude Desktop. Claude can do that writing for you instead, so you can ignore those two.

Watch out

Paste an API key only into the AI Settings page of the app. Never paste a key or a password into a chat.

Eight steps to a working app

  1. Unzip the download into a permanent folderRight-click the zip file, choose Extract All, and pick a folder such as Documents.
    Why not run it from the zip?

    Windows opens a zip like a folder, but the app cannot run from inside it. Extract everything first, then open the app from the new folder.

  2. Open CPStudio.exeOpen the new folder and double-click CPStudio. The first launch takes a few seconds while the app sets itself up.
    Windows says "Windows protected your PC"

    This is normal for a new app. Click More info, then Run anyway. You only do this once.

  3. Log in and change the passwordUse admin@example.com and admin123. Then click Admin in the top menu, find Change password, and choose your own.
    Where is Change password?

    Click Admin in the top menu. Your account menu has a Change password link. Pick a password you do not use anywhere else.

  4. Look around the Dashboard and the Training pagesThe Dashboard shows what is due today. The Training pages in the sidebar explain each part of the app. Some example content, marked [Example], is there so you can see how things look.
    Can I delete the examples?

    Yes. Everything with [Example] in its name is sample content. Delete it whenever you like. It does not affect your own work.

  5. Connect your AIChoose your route below, follow its steps, and tick Done.

    Claude Desktop

    Install the Claude Desktop app from Anthropic and sign in. It must be the desktop app. The browser version and the phone app do not work for this.

    Open Content Planning Studio. A green bar at the top says Connected to Claude Desktop. Now fully quit Claude Desktop: right-click the Claude icon near your clock and choose Quit. Closing the window is not enough. Open Claude Desktop again, then click the dismiss button on the green bar in the app.

    Use a New Chat in Claude Desktop, not Cowork. The next step tests the connection.

    Your own AI key

    Create an account with OpenAI, Anthropic or Google Gemini and get an API key from that provider's website. The key is not included with the app.

    In the app, click AI Settings in the top menu. Pick your provider, paste the key into its field, and tick Active. Press Save, then Test connection. Your key is stored encrypted on your own computer and is only sent to the provider you chose, when you use an AI feature.

    No AI yet

    Nothing to do. Tasks, pages, products and the content calendar work with no AI. You can connect Claude Desktop or add a key at any time.

  6. Test the connectionCheck that your AI route works before you build anything on it.
    How do I test it?

    Claude Desktop: paste the connection test prompt from the next section into a New Chat. Claude should list your websites and explain the plan framework back to you. Your own key: press Test connection in AI Settings, then open the Assistant and ask what content you have scheduled this week.

  7. Turn on the reminder email (optional)Open Settings. Under Email & Reminders, enter your email address and your sending details, tick the box, save, and press Send test email.
    What do I enter?

    Enter the address where reminders go, then your email provider's SMTP host, port, username, password and from address. If you run a Djangify shop, use the email details from your shop. The password field accepts an app password if your provider offers them. Tick Email me my outstanding tasks when I close the app. The app then emails you what is still open when you close it for the day. It sends at most one a day and says nothing if everything is done.

  8. Make your first backupOpen Settings and press Backup everything. A zip file is saved in your Downloads folder. Copy it somewhere off this computer.
    Why copy it off the computer?

    A backup that sits in Downloads on the same PC will not help if that PC fails. Put a copy in a cloud drive such as Google Drive, OneDrive or Dropbox, or on a USB drive.

  1. Which website or business will you plan content for first?Pick one. You can add the others later.

If Claude does not show your tools Copy
Claude Desktop is not showing my Content Planning Studio tools. Walk me through what to check, one step at a time. I will paste the contents of claude_connect.log from the ProductTracker folder in my LocalAppData folder when you ask for it.

If Claude lists your websites and explains the framework, you are set. If it cannot see your websites, the connection is not live yet. Fully quit Claude Desktop and reopen it, then try again.

Back up and keep a copy off your computer

Everything you make lives in one database file on your own computer: your websites, products, assets, content, plans and tasks. Backup everything in Settings saves a complete copy, plus every uploaded file, into one zip file named with the date and time. You can press it at any time, even while you work.

Tip

Back up after any session you would hate to redo, such as after building a plan or adding a batch of assets. If you use the app most days, a weekly backup plus one before anything big is plenty. The app also shows a reminder banner when your last backup is more than 30 days old.

If something does not work

Does it run on a Mac?

The packaged app is a Windows program, so it will not open on a Mac, and these guides cover the Windows app only.

Content Planning Studio is built with Django, so a developer can run it from source on another system. That route is not covered here. If a Mac is your only computer today, the practical answer is a Windows PC. A modest second-hand laptop is enough, because the app is light and your data is one database file.

Claude Desktop itself runs on a Mac, but the link the app installs for it (CPStudio-mcp.exe) is a Windows file, so the Claude route needs the app on a Windows PC too.

Windows will not let me open it

Windows treats any new app it has not seen many times before with suspicion, which is why you get the blue "Windows protected your PC" screen. It does not mean the app is faulty. Click More info, then Run anyway. Windows remembers your choice for that file.

If there is no Run anyway button, or nothing happens, work through these in order:

  1. Check you extracted the zip into a folder first. Running the .exe from inside the zip does not work.
  2. Right-click the original zip file, choose Properties, and tick Unblock at the bottom if you see it. Press OK, then extract again into a new folder.
  3. If your antivirus removed or quarantined a file, restore it from the antivirus history and add the app folder to its allowed list. Then try again.
  4. Make sure the whole folder is together. CPStudio.exe will not start without the _internal folder next to it.
The first launch is slow, or the window stays blank

The first time, the app has real work to do: it creates your database, loads the example content, the Training pages and the content recipes, and checks for a Claude Desktop connection. That normally takes a few seconds, and can take up to a minute on a slow disk. Later launches are quicker, because that setup is already done.

Do not keep double-clicking the icon, as that can open several copies. Give it a minute. If the window is still blank after two minutes, close it from the taskbar and open it once more. If it still fails, open %LOCALAPPDATA%\ProductTracker, find the file startup.log, and send its contents to support. It records each setup step and which one failed.

Claude Desktop does not show my content tools

Work through these in order, and stop when it works:

  1. Fully quit Claude Desktop. Right-click the Claude icon near your clock and choose Quit, then open it again. Closing the window is not enough, because Claude only loads new tools when it restarts.
  2. Check you are in the right place. It must be the Claude Desktop app, signed in, and you must be in a New Chat, not Cowork. The browser version and the phone app cannot use the connection.
  3. Press Reconnect. In the app, open Settings and find Claude Desktop connection. Press Reconnect, then fully quit and reopen Claude Desktop again. This rewrites the connection if you moved or updated the app folder.
  4. Look at the status. The same Settings card shows the last result. It also tells you if Claude Desktop was not installed when the app first looked for it. The app keeps retrying, so opening Claude Desktop later usually connects it without reopening the app.
  5. Ask Claude to help. Use the third prompt above and send it the claude_connect.log file from %LOCALAPPDATA%\ProductTracker. Each line records one attempt and its result.
I see an error about no active provider or no API key

This message means the app could not find a working AI key to use. There are four usual causes:

  • The provider is not marked Active. A saved key with Active unticked is never used. Open AI Settings, tick Active next to the provider, and save.
  • The key was not saved. Paste it into the matching provider's field. A key for one provider will not work in another's field.
  • The key is no longer valid, or your account with that provider has no credit. Create a fresh key on the provider's website, or check your billing there.
  • The provider is set to Off. Off keeps your keys saved but stops anything calling a provider. Pick one again.

Press Test connection after each change. If you would rather not use a key at all, connect Claude Desktop instead, which uses your Claude plan.

Do I need AI to use the app?

No. Tasks and habits, pages and notes, products, the content calendar, the dashboard, the backup button and the reminder email all work with no AI at all. You can run a whole content calendar by hand.

You need one of the two AI routes for the parts that write for you: the 30-Day and 90-Day Content Plan chats, the Generate panels, the Assistant, the Email Specialist and the carousel text. You can add AI at any point without losing or redoing anything. Many people look around with no AI for a day or two first, and that is a sensible way to start.

Where is my data, and does anything leave my computer?

Your data is a database file and a media folder in %LOCALAPPDATA%\ProductTracker on your own computer. That holds your websites, products, assets, plans, tasks and uploaded files. The folder keeps the name from an earlier version of the app on purpose, so nobody loses their work. Please do not rename it.

Nothing is sent anywhere except to the AI provider you chose, and only when you use an AI feature. What is sent is the text needed for that request, such as your asset text and your brief. With your own key, that goes to OpenAI, Anthropic or Google. With Claude Desktop, your chat goes through Claude. Your API key is stored encrypted and is never sent anywhere except to its own provider.

How do I move to a new computer?
  1. On the old computer, press Backup everything in Settings and copy the zip file to a USB drive or cloud drive.
  2. On the new computer, unzip the app into a permanent folder, open CPStudio.exe once so it creates its data folder, then close it.
  3. Open %LOCALAPPDATA%\ProductTracker. Replace db.sqlite3 and the media folder with the ones inside your backup zip.
  4. Open the app again. Your websites, plans and assets should all be there.
  5. Set up your AI again. Your key is stored encrypted for the old computer, so add it again in AI Settings, and for Claude Desktop, open the app once so it reconnects, then restart Claude Desktop.
How do I update to a new version?

Press Backup everything first, so you have a safe copy. Then unzip the new download into a new folder and open its CPStudio.exe. Your data sits outside the app folder, so it carries over, and the app updates its database on first launch. You can delete the old app folder once you have checked everything is there.

If you use Claude Desktop, the connection still points at the old folder. Open Settings in the new app, press Reconnect under Claude Desktop connection, and fully quit and reopen Claude Desktop once.
